PROSPECTIVE PROPERTY OWNERS
A few things to ask companies when you're shopping for Placement and Management Services:
1. If service is part of a real estate sales company, are they really out for your best interest or is their main goal trying to capture you for a future sale?
2. How does the company/agent keep up on property management legal issues? (The typical real estate licensee/broker takes education that is 90% sales oriented.)
3. What systems do they have in place for emergencies?
4. How do they screen their tenants? ASK YOURSELF -- if the application fee is less than $20, and the fees charged for criminal, credit and eviction checks are 10-15 dollars, they have $5-10 left for reference checking, employment verification, and analysis. HOW THOROUGH ARE THEY, REALLY??
5. Are their policies posted and in plain view?
6. How will they promote your property? Is there one list outside and that's all that's visble to a potential tenant?
7. When you search for Healdsburg Rentals, Healdsburg rental homes, Healdsburg rental Houses, what comes up on the internet? If the company's web site doesn't appear, are they partnered with one of the national sites that have a high ranking?
8. How aggressive is their marketing campaign?
9. How often do they show? Is it always by appointment at their convenience? Do you have a showing agent?
10. What forms do they use? Ask for a copy of their presentation packet -- does it include their acocunting statement? Sample Lease? Make sure you know what the agent/company is getting your into before you sign on the dotted line.
11. What organizations do they belong to that promotes Property Management? The California Association of Realtors is 90% sales! Ask the individual "What education do you attend that lets me know you are serious about property management?"

OWNER SERVICES

Provide the property owner with a "screen" - owner never directly involved with tenant, allowing for more objective decisions;Develops relationship with tenant for effective communications and inspection strategies;Perform initial survey of property including inside and outside statement of condition, makes recommendations based on initial visit for the best and quickest way to rent (if vacant);Performs surveys twice annually once tenant has moved in (if vacant), along with seasonal maintenance program. Program has been proven to reduce deferred maintenance by 30% if performed on a regular basis;Drive by property monthly;Provide for after hours or emergency service to property;Collect monthly rents;Maintain rent collection records;Serve the appropriate notices in the event of late rents, terminations, etc.;Take care of necessary maintenance and repairs on a monthly basis within previously approved parameters AND work only with insured and licensed independent contractors (this protects both owner and agent on liability/worker’s compensation claims), as well as on staff handyman (covered by HPM worker's comp);Provide the owner with a monthly income and expense statement and copies of correspondence to/from tenant, as well as informing owner of monthly phone calls or conversation diaries;At year end, send out 1099’s and year end statements to owner and vendors as appropriate;Service legal notices to tenants in the event of late rents or move outs or non-compliance with lease terms;Do the appropriate move-in and move-out for property condition and security deposit return;Aggressively keep up on education, licensing and community issues possibly affecting rental property;Keep up on pending and moving legislation in Sacramento, changing legal issues and property management laws;Incorporate all placement services into management agreement to secure tenants.
